Help & FAQ

Getting started

›What's the business switcher (top right)?

Your company and the brands (DBAs) you sell under. Pick one to see only its inventory, sales and numbers; pick your company to see everything.

›Do I need to set up brands?

No. One business with one name doesn't need any — everything shows under your company. Add a brand for each other store name you sell under (Complete includes 2, Multi unlimited).

›What are Champ tips?

The 💡 next to a heading explains that screen. New screens show their tip once; tap 💡 any time to see it again. Turn pop-ups off (or bring them all back) in Settings.

Inventory

›How do I add what I already have?

Inventory → Import: bring it in from a spreadsheet and review everything before it's saved. Items with the same SKU or UPC get their quantity added and their cost averaged; new items get a SKU if they don't have one. Importing the same file twice adds the quantities twice.

›How does receiving work?

Inventory → Receive: check in what just arrived. Champ works out the true per-unit cost (even from a case price), averages it with what you already have, and records which bin it went in. Scan a bin label first and everything you scan after goes into that bin.

›What are bins?

Where things live. Print a label for each bin and scan it while receiving or counting. On Multi, assign bins to a store location — a store's stock is what's in its bins; unassigned bins are shared backstock.

›Does moving stock change my totals?

No. Moving between bins or store locations only tracks where an item is.

›How do I fix counts?

Inventory → Count: walk a bin, scan what's really there, and fix the numbers in one go. Every change is logged with your note.

›Can I get my inventory out?

Yes — Inventory → Export downloads a spreadsheet you can edit and import back.

Sales

›How do sales get into Champ?

Connect where you get paid (Settings → Sales connections) and each sale records itself. You can always record a sale by hand under Sales → New sale — stock and profit update instantly.

›Can I bring in older sales or marketplace sales?

Yes — Sales → Import. Items are matched to your inventory by SKU (or exact name when there's no SKU) so cost and profit fill in. Importing the same file again skips orders already in Champ.

›Why don't my Whatnot or eBay sales show up from Stripe?

Marketplaces pay you out themselves, so their sales don't appear in your Stripe even if they use Stripe behind the scenes. Use Sales → Import for those.

›What are channel fees for?

They work out profit when a sale doesn't include the exact fee (manual sales and some card readers). Example: eBay ≈ 13.25% + $0.40, Whatnot ≈ 8% + 2.9% + $0.30 — check your own rates in Settings → Sales channels.

›How are refunds counted?

Partial refunds come out of revenue; fully refunded sales are left out of reports. Refunding in Champ doesn't refund the customer's card — do that in Stripe/Square too (connected Stripe/Square refunds record themselves).

Customers

›Where do customers come from?

Buyers are added automatically from your sales. "OK to market to" means they opted in — only those go in the marketing export.

›What are customer numbers like BKS-C0001?

Each brand's prefix plus a C, so customer numbers never get mixed up with product SKUs. Set the prefix per brand in Settings.

Accounting & invoices

›Is sales tax part of my revenue?

No — it's money you collected for the state. Champ tracks what you collected by month and channel; filing and paying it is up to you (or Stripe Tax / your accountant).

›Cash or accrual — which should I use?

Cash shows money when it actually moves (an invoice counts once it's fully paid). Accrual shows it when it's earned. Most small businesses file on cash; switch any time with the toggle.

›What happens when I send an invoice?

Invoices start as drafts. Marking one as sent records the sale — lines with your SKU take the item out of stock and count its cost. You then track payments on the invoice; emailing it gives your customer a private link to view, print or pay online.

Selling online

›What is the Champ Storefront?

One page for your business — who you are, how to reach you, and what's on your shelves right now, straight from your inventory. Turn off items to use it as an info page you can link from social media. Leave it unpublished while you set up and use Preview.

›Which items show on my storefront?

Only items with a price and stock (from the brands you choose). Photos come from each item in Inventory. Your logo and name come from Settings → Company.

›Can shoppers buy online?

Yes, once your Stripe is connected and you turn on online checkout. Payments go straight to your Stripe, and orders record themselves in Champ — stock, profit and the customer. Pickup and flat-rate shipping are offered based on your settings.

›Can I use my own domain?

Yes — save it in Settings → Storefront and contact support; we'll connect it (one DNS record on your side).

›Does Champ track my storefront visitors?

Only counts (page views and where they came from, like Google or Instagram) — never who your visitors are.

›How do I list on Google Shopping?

Inventory → Sell elsewhere. Items need a name, price and photo. Paste your private feed address into Google Merchant Center (fetch on a schedule, daily) and Google keeps prices and stock current. Google sends shoppers to your product page, so it must show the same price — your Champ storefront works for this.

›How do I list on eBay?

Inventory → Sell elsewhere → download the eBay file and upload it in Seller Hub → Reports → Uploads. Drafts (recommended) let you review before anything goes live; live listings need your eBay business policy names.

Team, AI & equipment

›How do I add a teammate?

Settings → Team. Champ emails them a private invite link (you see it too). It works once, for that email only, and expires in 7 days. Admins can manage the team; members can't.

›What can the AI assistant do?

Connect Claude (or another AI assistant) in Settings → AI assistant and ask in plain words: "what's low on stock?", "what did I make this month?", "which bin is the blue dragon in?"

›What is Equipment for?

Vehicles, registers, copiers, tools — what you own, who has it, what it costs you, and what's coming due (insurance, registration, service, warranties, leases).

Billing

›How does the free trial work?

30 days with Complete features, no card needed. Your data stays safe whether or not you pick a plan.

›Can I cancel any time?

Yes — Settings → Plan & billing. You keep access until the end of the month you paid for.

›When do you refund a charge?

When it was a billing mistake — double charges, charges after you cancelled, the wrong plan, or a meaningful outage on our side — reported within 30 days. Details on the Billing & cancellation page.

›What happens if I downgrade?

Everything keeps working for 15 days. After that, brands beyond your new plan become read-only — you can still see, delete or move them into your main business, and new sales on them land in your main business.
